POSITION:
EXECUTIVE SECRETARY (For Chairman)
Roles & Responsibilities :
serves as a liaison to the Chairman, Board of Directors, and Senior Team members on all official aspects.
needs to be creative and enjoy working within an entrepreneurial environment that is totally result driven. This position requires an individual who has ability to exercise good judgement in a variety of situations,
strong written and verbal communication, administration, and organizational skills, and the ability to maintain a realistic balance among multiple priorities.
ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion. Further,
ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality.
Managing an extremely busy and active calendar of appointments, complete expense reports, composing and preparing correspondences that is at time highly confidential.
Arranging complex and detailed travel plans depending on the business requirements of the organization, itineraries, and agendas, compiling documents for travel related meetings.
Plans, coordinates, and ensures the Chairmans schedule is followed and respected.
Provide gatekeeper' role, creating win – win situations for access to the Chairman's time & office.
Communicates directly and on behalf of the Chairman based on instructions from the Chairman.
Researches, prioritises, and follows up on incoming issues and concerns addresses to the Chairman, including sensitive and confidential nature. Determines appropriate course of action.
Provides a bridge for smooth communication between the Chairman's office & internal departments, demonstrating leadership to maintain credibility, trust and support of all concerned.
Works closely & effectively with the Chairman to keep him well informed of the upcoming commitments and responsibilities, following up appropriately.
Qualifications and education requirements :
Expert level written & verbal communication skills.
Demonstrated proactive approach to problem solving with strong decision-making capability.
Emotional maturity
Highly resourceful team player, with the ability to be also extremely effective independently.
Proven ability to handle confidential information with discretion.
Strong work tenure: five to ten years of experience supporting C level Executives.
Experience and interest in internal and external communications, including confidential.
